Reflections

1. The president will probably give you all of last year’s entries. If you get them before Open House, set up a table at Open House to return them to people! Otherwise you’re stuck delivering them. If you have info in time, have flyers available for the Open House.

2. Get packet from PTA president. I didn’t get it this year until 10/13!

3. Maybe the district chairperson will be in the packet. If so, call her and find out what the district deadline is, and how many of each entry you will be allowed. Since she wasn’t in the packet, I called last year’s chairwoman, who told me this year’s chairwoman is Denise Wurtz at 452-6047.

4. Decide what you want your deadline to be. Give yourself time, because you will probably need to get the entries judged. Coordinate your date with Mrs. Brodhay, because most of your entries will come from her. She likes to have a show before Thanksgiving, and then you can get them.

5. If it’s early enough, write a short article to be included in the PTA section of the Hauser newsletter and on the website.

6. Fill out the PTA chairperson section of the official entry form. Add where to leave entries (the office), the deadline, and “a complete copy of the rules is available in the office” to the Rules-in-brief. If you have it, also fill in the local PTA good standing status dates on the bottom. You get them from the treasurer. If you don’t, it’s not hard to fill this in just for the entries.

7. Get the flyer from www.pta.org.members/planning/progeventplan/reflections.
Add your name, phone number, e-mail, and the deadline.

8. Put the flyer on the PTA bulletin board, submit it to Ms. Berman for the Hauser bulletin board and send a copy to the Webmaster.

9. Make a double-sided set of the flyer, general rules, rules-in-brief, and official entry form, so 4 pages. All forms except the flyer should be in the packet. If not, they are also on the National PTA website.

10. Make a copy for each staff member—50 copies. Stuff their mailboxes.

11. make a copy for each student, by homeroom. Ask Gwen or Diane for the list.

12. Make copies for the office flyer holder.

13. Make a copy of the complete rules, and leave with Gwen or Diane.

14. Make a Reflections box for the office to put out, in which to receive entries.

15. Collect entries on the last day. Check each entry for a completed form, with signature from student and parent, and any other required data. Check each entry for adherence to rules. Are visual arts and photography entries not too big, and not too thick? Make sure entry forms are properly attached. Record your entries. Call any entrants who need to complete their form or modify their entry.

17. Have entries judged if you have more than the maximum allowed for a category.
Nancy Hejna has always been kind enough to judge for us, both visual arts and photography.

18. Get entries to whatever school the chairwoman specified.

19. Pick up whatever didn’t go on, when the chairwoman calls. This year a parent picked them up for me at the awards ceremony.

20. You should get a letter listing who went on to state. Also a bill for shrink wrapping. Give the bill to the PTA treasurer, and write another letter for Hauser newsletter, listing all entrants, and saying how many went to state. Point out to Ms. Berman the Reflections winners who went to state, because this year, even though the winners were in the Hauser newsletter, she did not include them in the Board of Ed. Night time awards ceremony, and the other schools did. They had always been included in the past.

21. You might get a letter listing who won at state, write another article.

22. Pick up whatever didn’t go on, when the chairwoman calls. It’s quite possible there will be entries from years past, from Hauser students no longer at Hauser. Attempt to deliver/mail them all back.

23. Buy certificates at the Teacher’s Store in Oak Park.

24. Buy 2 Heavenly Hot Dog bucks (or whatever local merchant) for each participant.

25. Fill out certificates and attach with bucks to artwork, if you have it. Give to Hauser office.

26. Give the receipt to the treasurer, and get reimbursed!
